Clients are liable for the full private cost of any sessions booked where the third-party payer does not accept liability for funding. The 24-hour cancellation fee below applies to all sessions booked.
We welcome clients using Medicare for their GP Plan allocated sessions (up to 5 per year):
We do not bulk bill these sessions. Clients are liable for all private fees. The Medicare rebate is processed automatically at the time of payment and sent to your nominated account by Medicare. The current rebate is $58.30 returned to you for initial and subsequent sessions.
Payment
Payments are processed through Medipass using an SMS link sent to your mobile number right after the consultation. Private Health Insurance and Medicare rebates are instantly applied when your insurer is registered with Medipass. The link expires 15 minutes after it's sent, so please ensure payment is completed before leaving the reception area. If the link has expired, send a message to have it resent.
24 Hour Cancellation Fee
By scheduling appointments, Clients agree to the Fortitude Physio 24-hour Cancellation Policy outlined below:
Purpose
The purpose of this policy is to ensure that our practice operates efficiently and can continue to provide the highest level of care to all our clients.
Late cancellations, schedule changes, and no-shows disrupt our schedule and prevent other clients from receiving timely care.
This policy outlines the conditions under which cancellation fees are applied and provides clients with options to mitigate these fees.
Policy
Notice Requirement:
Clients must provide at least 24 hours' notice to cancel or reschedule an appointment. This allows us to accommodate other clients in need of our services.
Cancellation Fee:
If an appointment is cancelled, rescheduled, or missed with less than 24 hours' notice, the client will be invoiced for the full private session fee for the time booked.
This fee is necessary to cover the cost of the time reserved by our practitioners and the administrative work involved in managing schedules.
Mitigation Option:
Clients can avoid the cancellation fee by transferring their appointment time to a friend, family member, or colleague who can attend the session in their place.
The substitute attendee must inform our office of the change at least 10 mins before the scheduled appointment.
Procedure
Booking Appointments:
Clients will be reminded of the cancellation policy at the time of booking.
An email confirmation of the appointment will include a reminder of the cancellation fee policy.
All SMS appointment reminders will include a reference to the cancellation policy
Cancelling or Rescheduling:
To cancel or reschedule an appointment, clients can contact our office during business hours and speak to reception on (03) 8373 4646 or via SMS on 0414647520 or respond to an appointment reminder.
Email or the website Contact Us form is NOT a valid mode of communicating as we will not see these messages in sufficient time.
If less than 24 hours’ notice is given, client's will be informed of the cancellation fee and invoiced accordingly.
Invoicing:
Invoices for cancellation fees will be issued promptly via SMS and are to be paid online through the sent link. The invoice is due on the day of the booked appointment.
They cannot be passed on to third party payers such as Worksafe, TAC, DVA or Medicare
Payment can also be made via bank transfer with bank details outlined in any subsequent emailed invoice.
Communication
This policy will be clearly communicated to all clients at the time of their initial appointment and will be available on our website and in our office.
